We have prepared an overview of the functional approach to meet the audiovisual capabilities recommended for the space. This proposal represents our equipment recommendations and the extent that audiovisual systems will be incorporated into the space's design. All we require to proceed is your review and approval of this proposal and purchase order referencing this proposal. This proposal is good for 30 -days. INTRODUCTION Audio Visual Design Group (AVDG) is recognized as a highly talented and successful provider of integrated audio visual systems in California. Our approach to AV is unique in that we believe in the long view of AV as a strategic partner to our clients helping them develop and support their unique presentation and communication needs; those needs of today and their future. The intent is to ensure that we've captured the best technology for the client and maximize the.cost/value of their AV investment. We work closely with a company's management and IT team to implement the technologies requested. Our team consists of a vast pool of talent representing many years of AV design/integration experience with team members holding AV certifications and credentials widely respected in the industry. We have refined our model for success by hiring and retaining the best AV talent in the industry. Our team is currently over 50 persons strong and growing. AVDG has offices in San Rafael, San Jose, Southern California and Sacramento. We partner with over 400+ manufacturers of display; audio, video, control and ancillary communication components to custom design an AV system relevant to the specific needs of each client. We provide AV services of design and installation based on your specific needs and budget. For more information, please visit our website at www.AVDG.com 119981 Version Onel December 17, 2019 SCOPE i WORK Based on our recent meeting regard the programming report and budget estimate, we have recommended the following approach to meet the functional needs and basic requirements defined for the project, as follows: Encoder Replacement Encoder: AVDG will implement a new Monarch HDX encoder and supply all connectors and converters. TERMS AND CONDITIONS Payment Terms: All invoices are Net 30 terms: 35% Due with purchase order or sign proposal authorization to proceed. 75% of total due when equipment is ordered. 90% of total due at beginning of on-site installation (cabling or infrastructure) or shop fabrication. 100% of total due upon completion. 119981 Version One December 17, 2019 * A reoccurring late fee of 2% will apply to overdue 30 -day invoices as well as a 30°a restocking fee on all returned or cancelled items that have been ordered. Project Estimated Schedule: We anticipate completion of the project on the following schedule during normal business hours: • Receipt of Owner authorization to proceed Week 0 • Phase I - Equipment Order Week 2-3 • Phase II — Initial Installation (Cabling Pull and Infrastructure Assembly Week 4-6 Access to the Site (Infrastructure Completed by General Contractor) Week 6 • Phase III — Fabrication/ AV Component Installation Week 6-8 • Phase IV - Substantial Completion Week 8 REQUIREMENT: Client's network is working and IT is available to assist with provisioning. 2 Weeks Prior to Completion REQUIREMENT: Custom or modified millwork or furniture installed and project Site is dust -free and climate controlled 1 Weeks Prior to Completion • ' Phase V -Final Acceptance Week 8-10 We will work with you to finalize a schedule that meets the implementation requirements of the project. WARRANTY Service Agreement:'- AVDG offers the following coverage as part of our service agreements as follows. 12 Business Hour Service Agreement: • 24 / 7 call-in 1-800 number service with email alert to Service Team • Priority service status 2 -business hour response time • Unlimited telephone support • Broker Manufacturer's Warranty • Loaner equipment from service equipment pool if available • On -Site labor with 12 -business hour response time • One preventative maintenance visit • Normal Service Hours: (9am until 5pm PST) Monday thru Friday SUMMARY AVDG is committed to improving how our clients present, receive and exchange important information in their Conference Room environments.
