We understand that the Barn and surrounding site are a local landmark owned by the Town of Los Altos Hills and currently operated by the concessionaire, Victoria Dye Equestrian. The facility's current maintenance approach relies primarily on an annual list of prioritized requests submitted by the concessionaire. Based on our initial review and subsequent feedback from the Town, we have revised our proposal to focus the base scope on completing a conditions assessment of the facility, while providing several options for developing a longer-term maintenance plan. The BASE SCOPE, described under Tasks 1 and 2, will document our site observations, identify observed conditions and maintenance needs, and provide an organized framework that the Town may use to develop maintenance recommendations in-house. To supplement the base assessment, Page & Turnbull offers two OPTIONAL alternative approaches for preparation of the maintenance plan under Tasks 3A and 3B, allowing the Town to select the. level of additional support that. best meets its needs and available budget. An additional optional service is provided under Task 4, as outlined below. Task 1: Project Initiation and Management P&T will lead a virtual kickoff meeting with the client and concessionaire. The primary purpose of this meeting is to: • Introduce team members, roles, and responsibilities • Discuss project background, objectives, and approach • Review and confirm project schedule and deliverables • Discuss and coordinate th site Visit (Task 2) Project management tasks that will continue throughout the duration of the project include: • Coordination 'meetings on Zoom (bi-weekly, or as needed) • Review and coordination of background information provided by the client and concessionaire • Administrative tasks such as invoicing PAGE & TURNBULL LOS ANGELES SACRAMENTO SAN FRANCISCO? The report will include: a 1 0 -year projected cost estimate. In addition to the site assessment, P&T will do the following to assemble the report: • Itemized scopes per material and building assembly types, with high-level ROM cost estimate and frequency of treatment. • Recommendations from Task 2 by Stephanie Simmonds regarding material treatments specific to equestrian needs. • Consultant coordination to prepare the Abbreviated Report. DELIVERABLE: • One (1) electronic PDF copy of the Final Abbreviated Maintenance Plan and Cost Estimate.
